You’ve got timelines for the florist, the photographer, the caterer, and the DJ. But transportation? Most couples treat it like an afterthought. Then it goes wrong and everything falls apart.
A late bus means a late ceremony. An unreliable company means stranded guests on a rural road in wine country. And a boring shuttle means your bridal party shows up to the reception with zero energy.

6-9 Months Before: Research & Book

- Figure out what you actually need: Just the wedding party? Guests too? One direction or round trip? Get specific about headcount.
- Look at reviews: Google, The Knot, WeddingWire. Companies with consistently good reviews didn’t get there by accident.
- Get 2-3 quotes: Be specific about your timeline, pickup spots, and group size so you’re comparing apples to apples.

3-4 Months Before: Plan the Details
Bus is booked. Now nail down the logistics:
- Lock in your venue timeline: When does the ceremony end? When does cocktail hour start? How far apart are the venues? Add 15 minutes of buffer for photos and the inevitable delays.
- Set pickup locations: Exact addresses where your party is getting ready and where guests should meet. No surprises on the day.
- Talk to your photographer: If you want photos with the bus (you do, our buses look great in wedding photos), build 10-15 minutes into the schedule at pickup.
- Mention any special requests: Decorations, specific playlists, champagne on board. We’re flexible. Just tell us what you want.
- Finalize the headcount: Better to have a bit of extra room than find out day-of that you’re three people over capacity.
1-2 Months Before: Finalize Everything
- Put it all in writing: Send your final timeline with pickup times, addresses, and passenger counts to your transportation company. Get written confirmation back.
- Share the plan with your wedding party: Everyone should know where to be and when. Don’t assume they’ll figure it out.
- Loop in your coordinator: Your planner should have our number, and we should have theirs. Things change on wedding day and they need to be able to reach each other.

- Handle final payment: Most companies want payment 2-4 weeks out. Confirm your balance.
Wedding Week: Last-Minute Checklist
- Reconfirm everything: Quick call or email to your transportation company. Just make sure nothing’s changed on their end.
- Check the weather: Rain? Plan umbrella coverage between the bus and the venue door.
- Make a playlist: If you want specific songs on the bus, send them ahead or bring a phone with everything loaded.
- Pack a cooler: Water, champagne, snacks for the ride. Small thing, big impact.
- Pick a point person: Somebody in the wedding party (not the bride or groom) who’ll communicate with the driver about timing. Things run smoother with one person in charge.
